  1. What kind of reminders do I need to set up for a Hotel only trip?

  • Hotel Direct - Contact hotel 2 weeks prior to verify the room and ask if there are any special amenities for anything special they are celebrating

  • Client Direct - Inform client of any app or special events the hotel might have so they can be prepared for packing - inform them of any hotel reservations that might need to be made upon check in

  • How do I contact a hotel?

    Look to see if they have the following

    • Domestic - Email or Phone number for hotel direct, concierge, or sales email

    • International - Email or Phone number for hotel direct, concierge, or sales email

      • All Inclusive - Look to see if they have a travel agent portal - “google secrets travel agents” and you should see some type of travel agent portal - if you aren’t signed up - do so

      • Email or Phone number for hotel direct, concierge, or sales email

      • 2. What kind of reminders do I need to set up for flights?

    • Obtain info -

      • Ask their preference of seats - window aisle middle etc if they are on a carrier that assigns seats

      • Ask them if they have a Airline loyalty number for the carrier they are flying - if not they can sign up complimentary and send you their loyalty number

      • Ask them if they have a KTN or Known Traveler Number -this is what is normally added on an account for TSA Precheck

        • Once they are booked you can go to the carriers website - I will use United for this example.

        • Go to manage booking and you can change their seats and add their loyalty number and their KTN using their confirmation and last names

      • Remind the client to check in for their flight 24 hours prior

      • Advise them of any baggage fees

      • Let them know know they can log into their reservation and upgrade their seats for a fee if available (not on all carriers)

    • Advise them to download the air carriers app

    3. What kind of reminders do I need to set up for a cruise?

    • After booking - if the client did not have a loyalty number - ask them to create an account and add their reservation

    • Remind them to make their excursion bookings

    • Remind them to add any additional specialty reservations that need to be made and when they can make them (disney has dates that you can start booking)

    • Remind them of the documents that they need for travel

    • Remind them of their check in window

    • Remind them to make parking reservations (if driving) or shuttle reservations (if needed)

    4. What kind of reminders do I need for Ground Transfers?

    • Inform them the Name of the Company, what they will be wearing, where to meet them, and their contact info

    • Let them how and when to contact to get their pick up time for their return flight

    5. What kind of reminders do I need for Tours or Excursions?

    • Give them vouchers

    • Give them tour operators contact info

    • Let them know the duration of the tour and what is included and what to pack

    • Let them know where to meet their tour guide
